This Privacy Policy (hereinafter referred to as the "Policy") regulates the relationships concerning the protection of the personal data of visitors to the website https://www.volunteersunion.org (hereinafter referred to as the "Website"), owned by the Public Organization "Union of Foreign Volunteers in Ukraine" (EDRPOU code 44994094, registered address: Ukraine, 07401, Kyiv Region, Brovary District, Brovary City, Shevchenko Street, House 175-B), registered in accordance with the current legislation of Ukraine (hereinafter referred to as the "Organization").

1. GENERAL PROVISIONS:

1.1. In this Policy, the terms are used in the following meanings:
- Personal Data Repository - a named set of ordered personal data in electronic form and/or as personal data cards.
- Consent of the Personal Data Subject - a voluntary expression of will by an individual (subject to awareness) concerning the provision of permission for the processing of their personal data in accordance with the formulated purpose of their processing, expressed in a form that allows for drawing a conclusion about the provision of consent.
- Personal Data Processing - any action or set of actions, such as collection, registration, accumulation, storage, adaptation, alteration, recovery, use, and dissemination (distribution, realization, transmission), depersonalization, or destruction of personal data, including the use of information (automated) systems.
- Personal Data - information or a set of information about an individual who is identified or can be specifically identified.
- Personal Data Subject - an individual whose personal data is being processed.
- Third Party - any person other than the personal data subject, the owner, or the controller of personal data.
- Cookie Files - small text files that are stored in the device's browser (computer, mobile phone, etc.) after visiting the Website and are transmitted by the Website to the browser.
1.2. This Policy has been developed to inform personal data subjects about the procedure for processing their personal data when visiting/using the Website and to ensure the protection of their personal data during such processing.
1.3. The purpose of processing personal data obtained during the operation of the Website is to carry out the statutory activities of the Organization and to provide the opportunity for personal data subjects to use the Website and its features.
1.4. Visitors to the Website may provide their personal data to the Organization, which becomes available for processing in accordance with the terms and procedures defined in this Policy.
1.5. Users visiting the Website agree to the terms of this Policy and provide their consent for the processing of their personal data in accordance with the conditions outlined in this Policy.

2. DATA PROCESSING PRINCIPLES:

2.1. The processing of personal data of Website visitors by the Organization is based on the following principles:
- Voluntariness: The processing of personal data is carried out only with the consent of the personal data subject or in cases provided for by applicable legislation.
- Legality and Fairness: The processing of personal data is carried out on legal grounds and in a fair manner.
- Accuracy and Relevance of Processing: Personal data is processed accurately, comprehensively, and solely for specific purposes.
- Storage Limitation: Personal data is stored no longer than necessary to achieve the purpose of its processing.
- Confidentiality and Security: Ensuring the confidentiality and protection of personal data from unauthorized access, loss, destruction, or damage.
2.2. The method of processing data by the Organization depends on how visitors use and interact with the Website. Some information may be provided directly by visitors when using the Website or by other means; other information may be collected and processed by the Organization using automated technologies used on the Website.
2.3. Legal grounds for data processing: when visiting the Website, the Organization processes the personal data of visitors if:
1) The Organization has received consent for such processing;
2) Personal data is necessary for the Organization to perform a legal transaction with visitors or to take actions preceding the conclusion of a legal transaction;
3) The Organization has a legitimate interest in processing personal data, and this legitimate interest does not override the interests of visitors regarding data protection or their fundamental rights and freedoms;
4) In other cases provided by applicable legislation. In some cases, the Organization may have a legal obligation to process personal data or will process it to establish, exercise, or defend legal claims.
2.4. Mechanisms of automated processing: The Organization and third parties may use automated information processing technologies to process information in certain sections of the Website. The Organization uses cookie files to store content and settings, allowing the Organization to process standard information that a visitor's browser sends to specific websites.
2.5. The Organization may use the personal data of visitors only for the purposes defined in this Policy and by applicable law, including (but not limited to) the following purposes:
1) Processing requests from visitors to the Organization through the Website;
2) Providing charitable assistance using available options on the Website;
3) Achieving other statutory goals of the Organization in accordance with applicable law.
2.6. The Organization may accumulate personal data processed during the visit/use of the Website, including by entering this data into a personal data repository. The retention of personal data is carried out in accordance with the requirements of the current legislation on personal data.
2.7. The distribution of personal data of visitors is carried out solely with their consent or in cases provided by this Policy and applicable law.
2.8. The Organization may partially publish visitor data on its Website in the "Reports" or "Receipts" section in accordance with the requirements of applicable legislation.
2.9. Personal data is subject to deletion or destruction in the following cases:
- Expiration of the storage period or another period established by applicable legislation;
- Termination of legal relationships between the personal data subject and the Organization, unless otherwise provided by law;
- In other cases provided by applicable legislation in the field of personal data protection.
2.10. The Organization does not process personal data related to racial or ethnic origin, political, religious, or philosophical beliefs, membership in political parties and professional associations, criminal convictions, as well as data related to health, sex life, biometric or genetic data, except in cases provided by law.

3. RIGHTS OF PERSONAL DATA SUBJECTS

3.1. When visiting/using the Website, visitors have the following rights:
- To receive information from the Organization not covered by this Policy related to the processing of personal data or to request such information from authorized persons, except as provided by law;
-To access their personal data free of charge;
- To receive a response to their request regarding the processing of their personal data in accordance with the law and established deadlines;
- To submit a substantiated request with objections to the processing of their personal data, changes, or destruction of their personal data by the Organization in cases where such data is processed without the consent of the personal data subject, except as provided by law;
- To choose, in the respective section of the Website, to grant or withdraw consent for the processing of personal data;
- To request the deletion or destruction of their personal data by the Organization in cases of:
- No longer requiring personal data for processing purposes;
- Withdrawal of consent for the processing of personal data;
- Expiry of the personal data retention period or achievement of the purpose of their processing;
- Identification of unlawful processing of personal data by the Organization;
- The personal data subject's decision to annul their personal data.
3.2. Personal data subjects can exercise these rights by submitting a written request to the Organization via email at
volunteersunion.office@gmail.com or to the physical address of the Organization provided in the header of this Policy.
3.3. Personal data subjects have the right to file a complaint with the relevant authorities responsible for personal data protection regarding the unlawful processing of their personal data.

4. PROTECTION OF PERSONAL DATA

4.1. The Organization ensures the protection of personal data against unauthorized access, loss, destruction, or damage. To achieve this, technical, organizational, and legal measures are taken to guarantee the confidentiality and integrity of personal data.
4.2. The Organization takes measures to ensure the security of personal data when transmitted to the Organization. However, the Organization cannot guarantee absolute security of information when transmitted via the Website, as the Internet is not a completely secure environment.
4.3. The Organization takes measures to ensure the security of personal data when transmitted to third parties in accordance with the terms established in this Policy.

5. FINAL PROVISIONS

5.1. This Privacy Policy comes into effect upon its publication on the Website and becomes effective from the date of publication.
5.2. The Organization reserves the right to make changes and additions to this Policy. Changes come into effect upon their publication on the Website. Personal data subjects are obliged to regularly check the Privacy Policy on the Website to stay informed about the latest changes and additions.
5.3. Personal data subjects undertake not to use the Website for posting and transmitting information that violates the current legislation of Ukraine or the rights of other individuals.
